• Institution administrators — representatives of schools, colleges, universities, and institutes who create and manage a Scholix workspace.
• Institution users — staff, faculty, content editors, and other users invited to a workspace by the administrator.
• Website visitors — anyone who visits the Scholix marketing website (scholix.io) without creating an account.

2. Information We Collect

Information you provide directly:

• Account registration details: name, email address, phone number, institution name, and address.
• Billing information: name, billing address, and payment details (processed securely via our payment partners — we do not store card numbers).
• Institution content: pages, images, documents, announcements, faculty profiles, events, and other content you publish through the platform.
• Support communications: messages, tickets, and emails you send to our team.

Information collected automatically:

• Log data: IP address, browser type, pages visited, time and date of access, and referring URL.
• Device information: operating system, screen resolution, and device type.
• Cookies and similar technologies (see Section 7).

Information we do not collect: We do not collect sensitive personal data such as Aadhaar numbers, financial account details, health records, or biometric information.

3. How We Use Your Information

We use the information we collect to:

• Provision and operate your institution's workspace on Scholix.
• Process subscription payments and send billing receipts.
• Send service-related communications — account setup, renewal reminders, security alerts, and product updates.
• Respond to your support requests.
• Improve, maintain, and secure the platform.
• Comply with legal obligations under Indian law.

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

4. Data Isolation Between Institutions

Each institution on Scholix operates in a completely isolated database. Your institution's data — including users, content, admissions, and settings — is never visible to, or accessible by, any other institution on the platform. This isolation is enforced at the database level, not just at the application layer.

5. How We Share Your Information

We share your information only in the following limited circumstances:

• Service providers: Trusted third-party vendors who help us operate the platform — such as cloud hosting providers, email delivery services, and payment processors. These parties are bound by confidentiality obligations and may only process data on our instructions.
• Legal compliance: When required to do so by law, court order, or government authority under Indian law.
• Business transfer: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your data is subject to a different privacy policy.

6. Data Retention

We retain your data for as long as your account is active or as needed to provide the Services. Upon account termination:

• Your data is retained for 30 days, during which you may request an export.
• After 30 days, your workspace database and all associated content are permanently deleted.
• Billing records may be retained for up to 7 years to comply with Indian tax and accounting regulations.

• Keep you logged in to your account (session cookies).
• Remember your preferences.
• Understand how visitors use our website (analytics).

• Access controls and role-based permissions within workspaces.
• Regular security reviews and vulnerability assessments.

No method of transmission over the internet is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security.

9. Your Rights

As a user of Scholix, you have the right to:

• Access the personal information we hold about you.
• Correct inaccurate or outdated information in your account.
• Export your institution's content and data at any time.
• Delete your account and associated data (subject to the 30-day retention period).
• Opt out of non-essential marketing communications at any time by clicking "unsubscribe" in any email we send.

10. Children's Privacy

Scholix accounts may only be created by adults (18+) acting as authorised representatives of educational institutions. We do not knowingly collect personal information directly from children under the age of 18. Content about students published on institution websites (such as event photos) is the responsibility of the institution and must comply with applicable laws regarding minors.

11. Third-Party Links

Institution websites built on Scholix may contain links to external websites. We are not responsible for the privacy practices of those websites. We encourage you to review the privacy policies of any third-party sites you visit.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or through an in-platform notice and update the "Last updated" date at the top of this page. Your continued use of Scholix after any change constitutes your acceptance of the updated Policy.

13. Governing Law

This Privacy Policy is governed by the laws of India, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023. Any disputes shall be subject to the exclusive jurisdiction of courts in Pune, Maharashtra, India.
